How to write a letter

Firstly let’s start from the meaning of a letter; a letter is a way or process of sending and receiving information within our country or outside the country from one person to another or from institution to one another institution, it may be from institution to organization. Mostly sometimes we do send letters to our family, friend, a relative who is far away from us, or any organization in terms of seeking jobs and others. Some letter needs to be typed and printed on plain paper if it’s for business, professional, or job seeker. To write a letter you must follow some steps. Here, we have explained how to write a letter.

How to write a letterType of letter

We have two types of letter

  1. Formal letter
  2. Informal letter

Formal letters are the letters that we normally write for people we don’t know such as jobs, government, school, the head of our community, religious leader or business purposes, etc.

Informal letters are the letter we normally send to our loved ones, family, friend, relative who are not with us, etc.

A job application letter is a letter that was designed or written for all jobs in any place across the world. It is a letter where the human resources management or employers request the applicant to submit their job application letter for a selection process. The submission of the letter may be done through the internet or face to face depending on the method the company request.

Method of writing a formal letter

We have different ways how to write a letter, but the most acceptable one for those who want to  write a formal letter type and print it is as follows below;

  1. Determine the type of paper you want to print on it ( i.e maybe A4, A5, envelop papers, and others)
  2. Use a good format and the size of the words ( choose a good format is very important out of it we have Arial, Calibri, bell mt, bookman old style and others but some people prefer to use Times new roman because it makes their work neat and beautiful.
  3. Input your address (this is very important for a letter because without the receiver will not know where it was sent from or to and it must have two addresses i.e your address which must be on the top edge at the right side of the paper and the person you are sending it to address which must be at the left side of the paper below your address, your town and country you are sending it to and date.
  4. Salutation is also most important, we different methods of salutation for the person we know, we should mention his or her name and for the person, we don’t such as the manager, the director, to whom it may concern, the human resources management and so on.
  5. Heading of your letter (it may be a capital letter or a small letter. If it’s capital no need to underline it but if it’s a small letter it’s advisable to underline it.
  6. Introduction ( i.e introduce yourself)
  7. The body of the letter ( i.e the purpose of your letter)
  8. Closing of the letter at the end of last words (we have different types such as yours faithfully, sincerely and others and your signature and name.

NOTE: Don’t forget to put symbols where it’s necessary such as paragraph, comma (,), full stop (.), (;), (:), and so on.

  5. Heading of your letter (it may be a capital letter or small letter. If it’s capital no need to underline it but if it’s a small letter it’s preferable to underline it.
  6. Introduction ( i.e introduce yourself by name and other necessary things)
  7. The body of the letter ( i.e the purpose of your letter)
  8. Closing of your letter by your letter (we have different types such as yours faithfully, and name.

  2. Through post office and so on.
  3. Person to person
  4. Through the means of transportation.
